1. Who we are

MapleFinIT ("we", "us", "our") is operated by 15866081 Canada Inc., a corporation based at Oakhaven Drive, Oakville, Ontario L6M 3Z1, Canada. We are an IT staffing and recruitment firm serving the banking, fintech, insurance, and enterprise technology sectors in Canada and the United States.

This Privacy Policy explains what personal information we collect, how we use it, and your rights. It complies with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), the EU General Data Protection Regulation (GDPR) for any visitors from the EU, and the California Consumer Privacy Act (CCPA) for California residents.

2. Information we collect

We collect personal information directly from you when you:

  • Submit a candidate profile (name, contact, resume, work history, skills, work authorization status, compensation expectations)
  • Submit a hiring requirement (company name, your name, business contact details, role description)
  • Send a general inquiry through our contact form
  • Subscribe to our newsletter (email address)

We also collect limited technical information automatically when you visit our website:

  • IP address, browser type, device type, operating system
  • Pages visited, time spent, referring URL
  • Anonymized analytics via Google Analytics (configurable opt-out)

3. How we use your information

We use your personal information to:

  • Match candidates to open client roles
  • Communicate with you regarding opportunities, requirements, or inquiries
  • Verify work authorization and screening criteria
  • Send relevant updates if you have subscribed to our newsletter
  • Maintain and improve the security and performance of our website
  • Comply with legal, regulatory, and contractual obligations

We do not use your personal information for any purpose unrelated to recruitment or our stated business activities, unless we obtain your explicit consent.

4. How we share your information

As a recruitment intermediary, we share candidate profiles with prospective employer clients only when the candidate's profile matches an active hiring requirement. We do not sell, rent, or trade your personal information.

We may share information with:

  • Prospective employer clients — Only candidate profiles relevant to specific open roles, and only with implied or express candidate consent through submission
  • Service providers — Cloud hosting (Amazon Web Services), email delivery (Amazon SES), analytics (Google Analytics) — all bound by data processing agreements
  • Legal and regulatory authorities — When required by law, court order, or to enforce our legal rights

All third-party service providers we work with are contractually required to protect your information and use it only for the specific purpose for which it was disclosed.

5. International data transfers

Your data is stored in AWS data centers in the United States. If you are located outside the U.S., your data will be transferred to and processed in the U.S. AWS provides industry-standard safeguards, including encryption at rest and in transit. For EU residents, transfers occur under Standard Contractual Clauses where applicable.

6. How long we retain your information

  • Candidate profiles: Retained for up to 24 months after last activity, then deleted unless you request earlier removal
  • Hiring requirements: Retained for the duration of the client relationship plus 24 months
  • Contact inquiries: Retained for up to 12 months
  • Newsletter subscriptions: Retained until you unsubscribe
  • Resumes: Stored in encrypted S3 buckets with restricted access; deleted when the candidate profile is deleted

7. How we protect your information

We use industry-standard security measures including:

  • HTTPS encryption (TLS 1.2+) for all data in transit
  • Encrypted storage at rest (AWS S3 SSE-S3 or SSE-KMS)
  • Access controls — only authorized personnel can view candidate or client data
  • Server-side validation and anti-spam protection on all forms
  • Periodic security reviews of our infrastructure

No system is perfectly secure. If we ever become aware of a data breach affecting your personal information, we will notify you and applicable regulatory authorities in accordance with applicable law.

8. Your rights

Subject to applicable law, you have the right to:

  • Access — Request a copy of the personal information we hold about you
  • Rectification — Correct inaccurate or incomplete information
  • Deletion — Request that we delete your personal information ("right to be forgotten")
  • Restriction — Request that we limit how we use your information
  • Portability — Receive your information in a structured, commonly used format
  • Withdrawal of consent — Withdraw any consent you previously provided
  • Complaint — Lodge a complaint with a data protection authority (e.g., the Office of the Privacy Commissioner of Canada)

9. California residents (CCPA)

If you are a California resident, you have the right to know what personal information we collect, the right to delete personal information, the right to opt out of any sale of personal information (we do not sell information), and the right to non-discrimination for exercising these rights.

10. Cookies and tracking

We use minimal cookies to operate our website. Google Analytics uses cookies to help us understand site usage in aggregate. You can disable cookies via your browser settings or use Google's opt-out browser add-on. Our website does not respond to "Do Not Track" signals.

11. Children's privacy

Our services are not directed to individuals under 18 years of age. We do not knowingly collect personal information from children.

12. Changes to this policy

We may update this Privacy Policy from time to time. The "Effective" date at the top of the page indicates when it was last revised. We encourage you to review this policy periodically.
